Team Assistant
Team Assistant £60,000 - £62,000 City of London Temp to Perm A great opportunity for an experienced Team Assistant to join a busy and fast-paced technology team, working within a City-based Investment Bank. The role will be providing first class support to four senior stakeholders, providing extensive diary management across multiple time zones, stakeholder liaison and ensuring all travel and logistics are proactively coordinated, with any last minute changes taken care of. Working closely with other assistants in the team, you will be approachable, able to pivot depending on the executives needs and pre-empt any changes. This role offers hybrid working with 1 day from home, working hours 8:30am – 5pm.What You'll Do:
- Provide extensive and proactive diary management for four senior executives
- Ensure all meetings have all supporting papers and are prepared and available in advance
- Handle high-level queries and manage highly sensitive and confidential information with discretion
- Plan comprehensive travel itineraries including all logistics
- Organise all global travel bookings including flights, hotels and taxis, arranging visas where required
- Build strong working relationships with peers, senior executives, vendors and business guests
- Collate and distribute papers, reports and presentations for committees and senior leadership meetings, including board-level and regulatory meetings
- Manage schedules and logistics for visitors from other parts of the business
- Oversee travel, expense claims and leave requests on behalf of the senior management team
- Coordinate closely with executive colleagues across the wider organisation, including senior management,
- Draft ad-hoc emails and produce clear, accurate, high-quality written communications, facilitating information flow up and down the organisation
- Organise departmental and divisional meetings, including agenda preparation
- Support new starter set-up for senior team members where required
- Undertake other administrative tasks as directed by your line manager
- Proven as an Executive Assistant or Team Assistant, ideally supporting multiple senior stakeholders
- Experience working in a fast-paced administrative role within banking or financial services
- A proven track record of interacting effectively and confidently with senior management
- Educated to degree level - desired
- Excellent written and verbal communication skills, with a clear and concise style
- A results-driven approach with a strong sense of accountability and ownership
- Outstanding multi-tasking and organisational abilities, with the ability to prioritise and work with urgency
- Sound judgement and strong decision-making skills
- A structured, logical and detail-oriented approach to work
- The ability to manage large workloads and tight deadlines while remaining calm under pressure
