PRACTICE MANAGER

Job summary

Townside Surgery is a friendly and supportive practice well-organised and high performing. We are looking for a Practice Manager with excellent interpersonal and leadership skills, who is team focussed, compassionate and will foster excellent team working and share our values and ethos.

The role is responsible for overseeing the operational management of the practice, CQC compliance, HR, health and safety.

The successful candidate will be able to demonstrate clear leadership, operational management, strategic planning and high-level HR skills and experience.

Main duties of the job

  1. Overseeing the day-to-day operations of the organisation, ensuring staff achieve their responsibilities
  2. Managing HR, the recruitment; retention and training of staff;
  3. Managing the financial elements of the organisation (payroll Accounts and pensions; in conjunction with the partners.
  4. Developing, implementing, and embedding efficient business resilience plans
  5. Managing contracts for services.
  6. Coordinating; reviewing and updating all organisation policies and procedures
  7. Leading change and continuous improvement initiatives
  8. Ensuring the team reach QOF targets
  9. Adopting a strategic approach to management of all patient services
  10. Developing, implementing, and embedding an effective communication strategy (internal and external)
  11. Ensuring the organisation maintains compliance with its NHS contractual obligations.
  12. Actively encouraging and promoting the use of patient online services
  13. Maintaining the organisation and NHS choices websites
  14. Liaising at external meetings
  15. Marketing the practice appropriately
  16. Supporting the management of the Patient Participation Group
  17. Effectively managing/supporting the management of all complaints in line with current legislation and guidance
  18. The management of the premises, including health and safety aspects such as risk assessments and mandatory training
  19. Managing the organisation IT system, delegating staff to act as administrators.

  21. Appropriate coordination of organisation diary, for scheduled meetings.

Induction training

At Townside Surgery, you will be required to complete the induction programme and the practice management team will support you throughout the process.

Learning and development

The effective use of training and development is fundamental in ensuring that all staff are equipped with the appropriate skills, knowledge, attitude and competences to perform their role. All staff will be required to partake in, and complete mandatory training as directed by orgnisational needs and contracts. It is an expectation for this post holder to assess their own learning needs and undertake learning as appropriate.

The post holder will undertake mentorship for team members and disseminate learning and information gained to other team members to share good practice and inform others about current and future developments (e.g., courses and conferences).

The post holder will provide an educational role to patients, carers, families and colleagues in an environment that facilitates learning.

All staff are to recognise the significance of collaborative working and understand their own role and scope and identify how this may develop over time. Staff are to prioritise their own workload and ensure effective time-management strategies are embedded within the culture of the team.

Service delivery

Staff at Townside Surgery must adhere to the information contained with practice policies and regional directives, ensuring protocols are adhered to at all times. Staff will be given detailed information during the induction process regarding policy and procedure.

Managing information

All staff should use technology and appropriate software as an aid to management in the planning, implementation and monitoring of care and presenting and communicating information.

Clinical data should be reviewed and processed using accurate SNOMED codes to ensure easy and accurate information retrieval for monitoring and audit processes.

Security

The security of the organisation is the responsibility of all personnel. Staff must ensure they remain vigilant at all times and report any suspicious activity immediately to their line manager.

Under no circumstances are staff to share the codes for the door locks to anyone and are to ensure that restricted areas remain effectively secured.

Professional conduct

At Townside Surgery, staff are required to dress appropriately for their role.

Leave

All personnel are entitled to take leave. Line managers are to ensure all of their staff are afforded the opportunity to take the minimum required days leave each year and should be encouraged to take all of their leave entitlement.

Public holidays will be calculated on a pro-rated basis dependent on the number of hours worked.
