Workday Systems Admin - 4 days a week onsite - London

TrinIT Talent are looking for a Workday System Admin to join our customers team based in London. This is a permanent position paying up to £70,000 depending on experience.

Job Description:-

Workday System Administrator to manage, maintain, and optimize our Workday environment. This role also includes responsibility for supporting UKG through a managed service model, with a particular focus on Time and Attendance systems. The ideal candidate will have deep knowledge of both Workday and UKG including workforce scheduling, time tracking, and compliance requirements, ensuring seamless integration and operational efficiency across HR and workforce management platforms.

Key Responsibilities:

Workday System Administration

  • Serve as the Internal Subject Matter Expert
  • Act as the primary point of contact for all Workday-related inquiries and support across the organization.
  • Provide expert guidance on system capabilities, best practices, and optimization opportunities.
  • Collaborate with HR, Finance, IT, and other stakeholders to align Workday functionality with business needs.
  • Configure and Maintain Workday Modules. Lead the configuration, testing, and deployment of Workday modules including HCM, Payroll, Recruiting, Financials, and others as required.
  • Ensure modules are set up to support organizational policies, compliance requirements, and operational efficiency.
  • Manage updates and releases, assessing impact and implementing necessary changes.
  • Manage Business Processes, Security Roles, Integrations, and Reporting
  • Design, implement, and maintain business processes to streamline workflows and improve user experience.
  • Administer security roles and permissions to ensure appropriate access controls and data protection.
  • Oversee integrations with third-party systems (eg, payroll providers, benefits platforms, ERP systems), ensuring seamless data flow and system interoperability.
  • Develop and maintain custom reports and dashboards to support data-driven decision-making.
  • Monitor System Performance and Ensure Data Integrity
  • Conduct regular audits and system health checks to ensure optimal performance and reliability.
  • Identify and resolve data discrepancies, ensuring accuracy and consistency across modules.
  • Implement data governance practices and support compliance with internal and external regulatory standards.

UKG Time and Attendance Support via Managed Service

  • Serve as the internal subject matter expert for UKG Time and Attendance.
  • Liaise with the UKG managed service provider to ensure accurate and timely support for timekeeping, scheduling, and absence management.
  • Oversee configuration and validation of time rules, pay rules, shift differentials, and holiday calendars.
  • Support complex scheduling scenarios, including rotating shifts, flex time, and on-call arrangements.
  • Conduct regular audits and reconciliations between UKG and Workday to ensure data consistency.
  • Troubleshoot timecard issues, accrual discrepancies, and integration errors.
  • Collaborate with Payroll and HR teams to ensure accurate time data feeds into payroll processing.

User Support & Training

  • Provide Tier 2/3 support for Workday and UKG related issues.
  • Train HR, managers, and employees on time tracking, scheduling, and self-service tools.
  • Develop and maintain user guides and training materials.

Change Management & Enhancements

  • Gather business requirements and implement system changes in Workday and UKG.
  • Participate in release testing and deployment for both platforms.
  • Coordinate enhancements and configuration updates with the UKG managed service provider.

Security & Compliance

  • Manage user roles and access controls across Workday and UKG.
  • Ensure compliance with GDPR, Working Time Directive, and internal audit requirements.
  • Conduct regular system audits and resolve discrepancies.

Integration & Reporting

  • Support and monitor integrations between Workday, UKG, and other enterprise systems.
  • Develop and maintain reports and dashboards related to time, attendance, and workforce analytics.
  • Collaborate with vendors and internal teams to resolve integration issues.

Qualifications:

  • Bachelor's degree in information systems, Business Administration, or related field.
  • 3+ years of experience administering Workday systems.
  • 2+ years of hands-on experience with UKG Time and Attendance
  • Strong understanding of timekeeping rules, scheduling logic, and compliance requirements.
  • Excellent analytical, problem-solving, and communication skills.
  • Experience working with managed service providers and vendor coordination.

Preferred Skills:

  • Workday certifications (eg, Workday Pro).
  • Experience with UKG
  • Familiarity with Workday Studio, EIBs, and integration tools.
  • Knowledge of SQL or other data analysis tools.
  • Understanding of payroll processes and time-to-pay integrations.
