Operations & Systems Coordinator (Freelance)

This role plays an important part in supporting the systems, structure and day-to-day organisation that make this work possible.About the Role We are looking for an experienced freelancer, ideally with a background in the charity or not-for-profit sector, to support with systems, administration and operational coordination across the organisation.This role will play a key part in improving how information is organised, stored and accessed, ensuring smoother day-to-day operations and reducing pressure on senior leadership.You will focus on reviewing, maintaining and improving current admin systems, supporting document management and ensuring consistency across Microsoft 365 platforms, including Teams and SharePoint, as well as other systems such as TeamUp, BreatheHR and Mailchimp. This role is centred on keeping systems running smoothly rather than setting up new infrastructure.This is not a strategic operations role. Instead, it is focused on hands-on coordination, administration and system management. However, you will be trusted to manage your own time, prioritise workload effectively and take ownership of tasks to ensure work is completed to a high standard and deadlines are met.Key Responsibilities• Maintain and organise existing admin and filing systems across Microsoft 365, including Teams and SharePoint • Review document structures regularly to ensure information is accurate, accessible and consistently maintained • Archive documents and uphold clear, consistent filing practices across the organisation • Handle and manage data in line with the organisation’s Data Protection Policy, ensuring confidentiality, accuracy and secure record keeping at all times• Support the ongoing management and upkeep of systems such as TeamUp, BreatheHR and Mailchimp • Use tools such as Excel, Microsoft Lists and Planner to track activity, manage information and improve visibility of work • Liaise with internal teams to gather updates and ensure information is complete and up to date • Support clear communication across the organisation by maintaining accurate and accessible information • Track deadlines, send reminders and follow up to ensure timelines are met • Maintain oversight of active work, priorities and key organisational activities • Support reporting processes, including governance and board-related requirements What We’re Looking For• Proven experience in administrative or operations support roles • Extensive experience using Microsoft 365, including Teams and SharePoint • Strong organisational skills and attention to detail • Proactive and confident in following up with stakeholders • Ability to work independently and manage your own time • Experience working within a charity or not-for-profit environment (strongly desirable) • Understanding of charity operations, governance and reporting processes Why Join Us?• Flexible freelance role with autonomy • Opportunity to make a real impact within a small charity • Supportive and collaborative working environment • Meaningful work that contributes to a wider purpose How to Apply Please apply with your CV and a short overview of your experience, particularly highlighting your work with Microsoft 365 and any charity or not-for-profit experience.REF-228 414
