Band 4 Data Systems Administrator

Job summary

We have an exciting opportunity for a Data Systems Administrator to join the Endoscopy Department at University Hospitals Birmingham NHS Foundation Trust. This Band 4, full-time role (37.5 hours per week, Monday to Friday) will involve working across all UHB sites, with a primary base at Good Hope Hospital.

The post holder will support the development, maintenance, and effective use of Endoscopy data systems, ensuring the accurate collection, storage, and analysis of service information, while supporting data quality and reporting processes in line with operational requirements across the service.

We are looking for a hardworking and motivated individual with strong communication skills, who can demonstrate extensive knowledge and a strong understanding of data management, who is able to contribute to the ongoing development and effective use of Endoscopy data systems across the service.

Main duties of the job

Support the effective delivery and development of Endoscopy data and information systems across all sites, providing non-clinical advice and guidance to patients, carers, and staff. Working in line with Trust policies, information governance standards and best practice, you will maintain accurate, compliant and efficient information management processes.

Duties include developing and maintaining data systems, accurately inputting, validating, analysing and reporting information and supporting staff with data collection and quality standards. You will extract and interpret complex data from multiple systems to support reporting, audits, service monitoring and performance management. Produce routine and ad hoc reports, dashboards and spreadsheets, ensuring all submissions are accurate and completed within agreed timescales.

You will manage electronic correspondence and sensitive information confidentially, supporting new systems and process improvements. Carry out general information management tasks such as scanning, uploading and filing documentation. You will work independently using initiative to resolve issues while escalating concerns.

You will support resource management, including processing purchase orders and invoices, assist with activity and financial monitoring, maintain user access to systems, provide cross-cover during staff absences and support the induction and training of new staff. Complete audits, surveys, mandatory training and ongoing professional development.

Qualifications

Essential
  • *Knowledge of administrative and operational procedures, including the use of specialist IT systems, information management, and basic project or process coordination, acquired through formal training and/or relevant experience to diplomalevel equivalent

Experience

Essential
  • *Plus knowledge of dealing with non-routine issues such as problem solving for an area of work
  • *Experience of working with a range of Microsoft Office packages (Word/Outlook/Excel)
  • *Experience of using IT systems and database software
  • *Experience of data management and/or clinical audit and information systems
  • *Experience of managing and analysing complex data
  • *Understand confidentiality and apply the principles in everyday working practice
