Band 6 Workforce Information Team Lead

Job summary

The Workforce Information Team Lead will provide specialist workforce information, ESR and support workforce planning to the Workforce Planning Lead and Trust, enabling managers and senior leaders to make evidence-based decisions using accurate, meaningful and timely workforce intelligence.

The post holder will lead the extraction, validation, analysis and presentation of complex workforce data from ESR and related workforce systems, translating data into clear outputs such as dashboards, reports, briefings, exception reports and planning assumptions. The role will support both operational workforce management and strategic workforce planning, including establishment, vacancy, turnover, absence, bank and agency usage, workforce risks and future workforce requirements.

The post holder will provide day-to-day leadership to members of the Workforce Information team, supporting allocation of work, quality assurance, data standards, training and continuous improvement. They will act as a subject matter expert for ESR workforce data and reporting, ensuring data quality, governance and consistency across routine and ad-hoc workforce information outputs.

Office hours = 08.00 to 17.00 Monday to Friday

Person Specification

Qualifications

Essential
  • *Educated to degree level or equivalent relevant experience in workforce information, analytics, HR, finance, business intelligence or workforce planning.
  • *Evidence of continuing professional development relevant to workforce information, ESR, reporting, analytics or leadership.
  • *Formal or work-based training in ESR, workforce systems, data analysis, business intelligence or advanced Microsoft Excel.
Desirable
  • *Training or qualification in workforce planning methodology, business intelligence, Power BI, SQL, data warehousing, project management or leadership.

Experience

Essential
  • *Experience of using ESR or equivalent HR/workforce systems to extract, validate, analyse and report workforce information.
  • *Experience of producing complex regular and ad-hoc workforce reports, dashboards or analytical outputs for managers and senior stakeholders.
  • *Experience of interpreting workforce data and turning it into meaningful outputs, recommendations, briefing notes or performance reports.
  • *Experience of supporting workforce planning, establishment, vacancy, turnover, absence, temporary staffing or related workforce metrics.
  • *Experience of prioritising competing deadlines and maintaining accuracy within a high-volume reporting environment.
  • *Experience of providing day-to-day support, guidance, supervision or co-ordination to colleagues.
Desirable
  • *Knowledge of NHS workforce planning guidance, establishment control, ESR BI or workforce data standards
  • *Experience working in an NHS acute Trust, large public sector organisation or complex multi-site environment.
  • *Experience of line management, appraisal, training delivery or team leadership.
  • *Experience developing dashboards in Power BI or using SQL, Power Query, ESR BI or data warehouse reporting.
  • *Experience of establishment control, position management, data quality improvement or workforce planning cycles.

Additional Criteria

Essential
  • *Advanced analytical skills with the ability to interpret large and complex workforce datasets accurately.
  • *Advanced Excel skills and ability to use reporting, database or dashboarding tools to present information clearly.
  • *Strong ESR/workforce data literacy, including understanding of data quality, structures, hierarchies, coding and reporting definitions.
  • *Ability to lead, motivate and support colleagues, allocate work and promote consistent standards.
  • *Excellent written and verbal communication skills, including the ability to explain complex data to non-technical audiences.
  • *Ability to manage competing priorities, work autonomously and use judgement to resolve complex queries.
  • *Excellent attention to detail and commitment to data quality, confidentiality and continuous improvement.
  • *Demonstrates behaviours aligned to Trust values: Kind, Connected and Bold.
  • *Maintains confidentiality and handles sensitive workforce information appropriately.
  • *Able to travel between Trust sites when required.
  • *Able to work flexibly to meet reporting deadlines and service needs.
  • *Able to undertake prolonged periods of concentration and regular VDU use.

  • *Ability to automate reporting processes using Power Query, SQL, macros or equivalent tools.
  • *Knowledge of Power BI dashboard development, data modelling or data visualisation best practice.
  • *Understanding of NHS workforce returns, strategic workforce planning, temporary staffing metrics or establishment reconciliation.
  • *Approach to work that demonstrates curiosity, improvement mindset and willingness to develop others
