M365 Operational Officer

Job summary

Providing our staff with digital tooling will both improve productivity and staff satisfaction and be a key enabler in the journey towards full digital enablement. The M365 Operational Officer will play a role in digital enablement by supporting the Trusts Microsoft (MS) M365 application catalogue and usage.

Under the M365 Business Manager, the post holder will support multidisciplinary teams, clinical and non-clinical staff get the most out of the Microsoft 365 products. This post will act as a point of contact to ensure that all of our hospital staff and teams can maximise MS M365 functionality on their journey to become digitally enabled.

Support staff with training, useful guidance and tips on how to get the most from the multiple products and features MS M365 provides.

Support user product issues (break fix) through our ITSM tool.

Support the overall ongoing administration of the M365 solution, working with the rest of the D&I service for the allocation of paid for licenses.

Support the development of MS M365 policy for use of webmail, email archive methods, SharePoint and other MS M365 functionality.

Preference will be given to internal Trust staff, as well as 'Priority' and 'At Risk' status including NHS at Risk staff throughout Devon who is able to display recent relevant experience as dictated by the Person Specification.

Main duties of the job

Be a point of contact for hospital staff and teams to maximise MS M365 functionality on their journey to become digitally enabled

Assist in the reporting on license allocation and usage, including strategies to reclaim licenses without negatively impacting services

Assist and support the implementation and delivery of IT related projects as directed by either the M365 Operations Manager or M365 Business Manager.

Work with UHP Trust staff, as directed by either the M365 Operational Manager or M365 Business Manager, as well as our community support providers to reduce licensing waste through a targeted reduction in the full MS M365 user count.

The role will require those requesting MS Teams being fully conversant with the M365 Policy and all other applicable Policies and Information Governance relating to the provision of Teams.

Provide support through a range of mediums (i.e. Telephone, Teams, Face to Face, IT Help Knowledgebase etc.) to all users of University Hospitals Plymouth NHS Trust (UHP), as well as those users across our partners; Livewell, Harbour and Sentinel.

To have a firm understanding of the Trust & Departmental Policies (i.e. M365 User Policy, Information Governance Policy, Security Policy)

Assist and support in the undertaking of testing of potential alternative options and benefits, relating to M365, to promote cost saving options for the Trust

Job responsibilities

Support the Trusts Digital enablement Strategy by promoting MS M365 licensing and other products which become available. Receiving user enquiries, assessing their needs, and providing recommendations/advice of solutions.

As directed, conduct promotion and awareness events for M365 solutions across the Trust.

Cultivate professional and productive relationships with clinical, academic and nonclinical hospital teams so that they are able to fully exploit MS M365, improve efficiency and enhance job satisfaction.

Advise on user set up in regards of SharePoint, Azure, Forms Power BI, Teams, One Drive including sub sites, lists, libraries, and content. This may include:

o Working with the users to understand their needs and system modifications

o Managing settings within software applications to meet user need.

o Using a high level of accuracy and advance keyboard skills / M365 knowledge to ensure effective implementation.

o Review and resolve errors with set up.

Person Specification

Qualifications & Experience

Essential
  • Educated to Diploma level in either IT related systems subject &/or project management or equivalent qualification or equivalent demonstrable experience
  • Demonstrable experience across a range of specialist IT systems (i.e. Email Exchange, Office 365 etc.) and application systems - usage &/or work processes
  • Developed physical skills; advanced keyboard & mouse usage
  • Proven knowledge &/or experience with software / hardware

Aptitude & Abilities

Essential
  • Ability to assess, resolve and refer enquiries &/or staffing issues.
  • Ability to work on own initiative as well as part of a multi-disciplinary team.
  • Ability to work well within a busy environment and to specified deadlines.
