Digital Project Coordinator
Job summary
To work as part of a multi-disciplinary project team within Digital and Data Services. This role will provide comprehensive high quality project support to digital/data/IT projects throughout the whole project lifecycle to ensure that projects are highly organised, supported, and run efficiently and effectively.
The post holder will ensure timescales are delivered in line with scope and plans for projects. The role will ensure that relevant staff are involved at all stages of planning and implementation of a project and that information is accurate, timely, and managed and communicated effectively through the collation and analysis of information and the production of reports, minutes, and briefing documents etc.
The post holder will be required to work across all sites of the Trust.
The role is varied and requires confidentiality, initiative, flexibility and capability of working under pressure and to deadlines.

Main duties of the job
- To work with project managers to ensure that all requirements of projects are implemented within the defined timescales as set out in the project plans.
- Ensure all project controls and reports (RAID logs, highlight reports) are up to date and accurate and all aspects are captured.
- To support the production and maintenance of project documentation e.g. Project Initiation Documents, project plans, Terms of Reference, testing scripts and options papers etc.
- Monitor project progress, risks and issue management and provide regular updates to stakeholders.
- Coordinate meetings, prepare agendas and document minutes and action items.
- To organise and arrange demonstrations of systems, ensuring all end-users from relevant areas are in attendance, from both internal and external stakeholders.
- Facilitate and document the current processes and related operational procedures for relevant projects to formulate the necessary information into maps/flowcharts and validate users requirements at all relevant stages of processes.
- Support and capture optimisation needs, following implementation, to ensure that users needs are constantly assessed and that appropriate issues are documented, and that relevant changes are implemented and monitored.
- To assist in the delivery of training materials and participate in the delivery in order to assess its effectiveness.
- Assist the Project Managers to plan and co-ordinate simultaneous projects, supporting wherever necessary.

Education, Skills, Experience, Training and Qualifications (
- Degree level or equivalent experience
- Advanced experience and working knowledge of MS365 packages e.g. Word, Excel, Powerpoint, Teams, and SharePoint
- Experience in a project support role or equivalent level administrative support role.
- Data collection, analysis and presenting information in easy-to-understand format to a wide range of stakeholders.
- Experience of working within a project environment and using project tools and techniques
Communication
- Ability to develop and maintain effective working reltionships within the organisation in order to negotiate and influence to gain commitment (change management)
Analytical and judgemental
- Demonstrate initiative and problem solving skills
