GP Receptionist 27.5 Hours per Week

We are looking for an experienced and professional GP Receptionist to join our friendly and supportive practice team.

Hours: 27.5 hours per week

Shift Pattern:

Monday: 1:00pm 6:30pm

Tuesday: 8:00am 1:30pm

Wednesday: 1:00pm 6:30pm

Thursday: 1:00pm 6:30pm

Friday: 8:00am 1:30pm

Main duties of the job

As the first point of contact for our patients, you will provide a welcoming and efficient reception service. Duties will include:

Greeting patients and visitors in a friendly and professional manner.

Answering telephone calls and online requests and dealing with patient enquiries.

Booking, amending and cancelling appointments.

Processing repeat prescription requests in line with practice procedures.

Managing patient records and ensuring confidentiality is maintained.

Undertaking general administrative and reception duties to support the smooth running of the practice.

Valley Medical Centre is a friendly, well-established GP practice located on Johnson Street in the heart of Stocksbridge, Sheffield (S36 1BX). Situated on the northern edge of Sheffield, close to the Peak District National Park and the Barnsley border, the practice serves a diverse mix of urban and rural communities, including Stocksbridge, Deepcar, Midhopestones, Bolsterstone, Langsett and Thurgoland.

We provide high-quality primary care services to approximately 9,500 registered patients and are committed to delivering safe, accessible and patient-centred healthcare. Our purpose-built premises are fully accessible and offer a wide range of GP and enhanced primary care services to meet the needs of our local population.

Our multidisciplinary team consists of four GP Partners and five Salaried GPs, supported by experienced practice nurses, a nurse associate, healthcare assistant, phlebotomist, and a dedicated administrative and reception team. We also work closely with a range of attached healthcare professionals, including clinical pharmacists, first contact practitioners, mental health practitioners, district nurses, health visitors and midwives, ensuring patients receive comprehensive, joined-up care.

Job Summary

The Receptionist is the first point of contact for patients and visitors attending the practice. The post holder will provide an efficient, professional and courteous reception and administrative service, ensuring patients receive a high standard of customer care while supporting the smooth running of the practice.

The successful candidate must have previous experience working in a GP surgery and be competent in the use of SystmOne ideally.

Main Duties and ResponsibilitiesReception Duties
  • Welcome patients and visitors in a professional and friendly manner.
  • Answer incoming telephone calls and online requests promptly and deal with enquiries appropriately.
  • Book, amend and cancel appointments using SystmOne in accordance with practice protocols.
  • Review new patient registrations and update patient demographic information.
  • Receive and accurately record requests from patients, signposting where appropriate. Verbally, via email, online enquiries etc.
  • Manage the reception area to ensure it remains tidy, welcoming and confidential.
Administration
  • Process repeat prescription requests in line with practice procedures.
  • Receive, sort and distribute incoming mail.
  • File and retrieve patient records and documentation.
  • Process online consultation requests and other electronic communications.
  • Undertake general administrative duties as required.
Patient Care
  • Provide excellent customer service to all patients, relatives and visitors.
  • Treat all patients with dignity, respect and compassion.
  • Maintain strict patient confidentiality in accordance with GDPR and practice policies.
  • Signpost patients to the most appropriate clinician or service where applicable.
Communication
  • Communicate effectively with patients, colleagues and external healthcare professionals.
  • Work collaboratively with the wider practice team.
  • Escalate concerns or significant events to the Practice Manager or appropriate clinician.
Information Technology
  • Use SystmOne confidently and accurately.
  • Use Microsoft Office and other practice software systems.
  • Confident using email software.
  • Maintain accurate electronic patient records.

The post holder must maintain the confidentiality of information relating to patients, staff and the practice at all times in accordance with the Data Protection Act, UK GDPR and NHS confidentiality requirements.
