This is an on-site position, based in Chesterfield for an industry leading insurance company.
Role Purpose
The IT Asset Coordinator plays a key role in ensuring the efficient management of hardware assets across their lifecycle. This includes coordinating provisioning, logistics, inventory accuracy, and exception handling to support all joiners, movers, leavers (JML), and break/fix processes. The role ensures that technology assets are available, tracked, and managed efficiently in alignment with internal processes and standards.
Working under the direction of the IT Asset Manager, this role will primarily focus on Hardware & Software Asset Management, using Certero and ServiceNow, ensuring accurate asset data and timely fulfilment of hardware needs.
Key Responsibilities
- Coordinate the receipt, allocation, dispatch, and recovery of all hardware assets (laptops, desktops, mobile devices, accessories, etc.)
- Support and maintain accurate asset records in ITSM Tools and HAM/SAM applications.
- Fulfill EUC (End-User Computing) hardware requests as part of the JML and break/fix processes.
- Track hardware through its lifecycle, including deployment, return, redeployment, and disposal.
- Investigate asset discrepancies or missing hardware; follow up on exception reporting.
- Ensure that asset tagging, recording, and documentation are accurate and complete.
- Maintain optimal stock levels for new and replacement hardware; coordinate with procurement and suppliers where necessary.
- Assist in managing end-of-life (EOL) hardware, including secure disposal and audit compliance.
- Help organise and maintain the technology storage areas and warehouse space to ensure clear asset categorisation (e.g., project stock, repairs, spares)
- Adhere to and promote Health & Safety procedures during asset handling and logistics.
- Provide operational updates and reports as needed (basic reporting; advanced reporting in Power BI desirable)
- Support a culture of continuous improvement in asset management processes.
- Support and maintain audits and audit controls against hardware assets to ensure compliance.
Key Skills/Experience required
- Experience working with technology assets in an enterprise IT environment.
- Familiarity with ITSM tools, especially ServiceNow.
- Hands-on experience with asset management tools such as Certero, Service Now or ITSM tool (preferred)
- Good working knowledge of Microsoft Office, especially Excel and Outlook.
- Basic data entry and analysis skills; exposure to Power BI is a plus.
- Understanding of IT asset lifecycle and logistics.
- ITIL awareness is desirable.
- Familiarity with endpoint management tools such as Microsoft Intune, SCCM, and AirWatch is desirable.
- Understanding of software asset management and cost optimisation.
