Job summary

We are looking for a proactive and organised IT Hub Administrator to join the Healthwest Primary Care Network team in Bristol. This varied role is ideal for someone who enjoys problem-solving, working with technology and supporting others. You'll become part of a friendly IT Hub team helping our GP practices work effectively and ensuring staff have the systems and support they need to deliver excellent patient care.

With a mix of IT and administrative responsibilities, no two days are quite the same. Its a great opportunity for someone who is adaptable, confident with technology and keen to develop their skills within a busy primary care environment.

Main duties of the job

Working as part of the PCN IT Hub, you'll provide day-to-day technical and administrative support to colleagues across our GP practices. You'll help troubleshoot IT issues, respond to requests through our service desk and work with external support providers where needed, helping to keep disruption to staff and patient services to a minimum.

Alongside IT support, you'll undertake a varied programme of administrative and data-related work, supporting areas such as reporting, patient communications, online services and practice processes. You'll work across our practice sites on a rota, managing both planned responsibilities and new requests as they arise.

Job responsibilities

Our IT Hub provides technical, administrative and operational support across the PCN. The IT Hub Administrator role combines hands-on technical support with a varied range of administrative and data-related responsibilities.

We are looking for someone who is IT literate, highly organised and an excellent communicator. You will need to be comfortable adapting to changing priorities, managing your own workload and solving problems as they arise.

The IT Hub supports practice staff Monday to Friday during practice opening hours and may occasionally assist patients with appropriate technical queries, such as NHS App support.Staff submit IT issues and requests through our service desk. You will help triage and resolve these requests, minimising disruption to staff and patient care. Where an issue cannot be resolved directly, you will liaise with the appropriate third-party support provider.

Responsibilities include:

  • Supporting practice software, including EMIS, Docman, Anima, Accurx and Microsoft 365 applications
  • Troubleshooting PCs, laptops, printers, webcams and other hardware
  • Supporting telephony systems
  • Supporting third-party clinical devices and software
  • Assisting with remote access, including VPN and virtual desktop
  • NHSmail and Smartcard support
  • Managing software installation requests
  • Website management
  • Developing and managing EMIS resources, including protocols, templates, concepts and documents
  • Supporting EMIS/SNOMED coding queries
  • Building and running searches, reports and general analysis of patient or practice data
  • Setting up accounts and providing IT induction for new starters
  • Removing accounts and access for staff leavers

Each member of the IT Hub has a regular workload alongside responding to day-to-day requests. Administrative responsibilities include:

  • Running and exporting data from health record systems
  • Sending SMS and letter invitations and communications to patients
  • Supporting searches and electronic mailouts for research projects
  • Processing patient requests for online access to medical records through the NHS App
  • Running data-quality searches
  • Processing Accurx questionnaire responses
  • Running EMIS reports
  • Supporting vaccination invitation programmes


Person Specification

Qualifications

Essential
  • A sound education to A-level standard or equivalent

Experience

Essential
  • Experience communicating effectively with a range of people
  • Experience working successfully as part of a team
  • Be computer literate and confident using standard Microsoft Office applications, including Word and Excel
  • Have excellent attention to detail and work accurately
  • Have a planned and organised approach to your work
  • Be able to prioritise your workload and meet deadlines
  • Communicate IT updates and solutions clearly and concisely, including to colleagues who may be less confident using technology
Desirable
  • Evidence of commitment to continuing professional development
  • Administrative and/or technical support experience, ideally within primary care
  • Experience working in a computer-based office environment
  • Previous experience working within general practice
  • Experience using the back-end functions of EMIS Web, including configuration, Population Reporting, protocols and documents
