We are looking for an Executive Assistant to join Wigan & Leigh Hospice, providing professional, proactive and confidential support to our leadership team. This is a varied and important role, requiring excellent organisational skills, sound judgement and the ability to manage competing priorities in a busy environment.
You will play a key role in ensuring our senior leaders are well supported and able to focus on delivering the hospices strategic priorities and the highest standards of care for patients and those important to them.

Main duties of the job
This role supports the Wigan & Leigh Hospice executive team and board. As executive assistant you will coordinate meetings and provide administrative support to the executive team, dealing with complex and often sensitive information.
Working closely with the company secretary, you will provide support to the board and its committees, including arranging the meetings, coordinating and circulating papers, minute taking and ensuring action logs are updated and accurately maintained.
This is an important role in an organisation that is values-led and delivers vital care and support across the borough.
This is a 37-hour per week role, Monday to Friday, 8.30am to 4.30pm (Friday 4pm finish).

Job responsibilities
As Executive Assistant, you will provide high-quality, proactive and confidential support to the Wigan & Leigh Hospice Executive Team and Board. You will play an important role in ensuring our senior leaders are well organised and effectively supported, managing complex diaries, coordinating meetings and handling sensitive information with professionalism and discretion.
Working closely with the Company Secretary, you will support the Board and its committees, including:
- Arranging and coordinating Board and committee meetings.
- Preparing, coordinating and circulating agendas and meeting papers.
- Taking accurate minutes and maintaining clear and up-to-date action logs.
- Supporting compliance with meeting terms of reference and good governance practices.
- Acting as a key point of contact for the Executive Team and Board, responding to requests appropriately and maintaining confidentiality.
- Managing complex diaries and screening and prioritising correspondence.
- Using Microsoft Office and other IT applications to compile, analyse and present information effectively.
- Providing administrative and organisational support to Executive Team-led projects.
- Supporting good governance and helping the hospice meet its statutory, regulatory and legal obligations.
- Working collaboratively with the wider hospice administrative team and providing cross-cover when required.
You will build effective working relationships with colleagues across the organisation and contribute to a professional, supportive and values-led working environment.
The role may occasionally require some out-of-hours working.

Person Specification
Experience
- Experience of providing support to meetings, including complex minute taking
- Experience of working within strong governance, regulatory and legal frameworks
- Experience of working in the healthcare or charity sector
- Experience of working with volunteers
Qualifications
- Educated to Level 3 in business administration
Skills & Abilities
- Proficient in Microsoft Word, Excel, Outlook, and Teams, with strong general IT skills.
- Excellent verbal and written communication skills
- Highly organised, with strong time management, planning, and prioritisation skills.
- Solutions-focused, creative, and able to resolve problems effectively.
- Able to handle sensitive and confidential information with discretion and professionalism
