Administration Assistant - 19 Hrs per Week
Job summary
We are a rural GMS training practice caring for 10,000 patients, half dispensing, a provider of surgical services and a high QOF achiever.
We are looking to recruit an Administration Assistant for 19 hours per week, to assist the administrative team in the day to day running of the practice also taking responsibility for their own workload.
The 19 hours will be worked on Monday, Thursday & Friday, how the hours can be spread over these three days is open to discussion.
Main duties of the job
Provide administrative support to the Practice Manager, Assistant Practice Manager, Senior Administrator and Business Support Administrator, assisting with tasks and projects as required to support the effective day-to-day operation of the practice.

Job Description
Job Title: Administration Assistant
Purpose of the Post. Provide administrative support to the Practice Manager, Assistant Practice Manager, Senior Administrator & Business Support Administrator
Main Duties and Responsibilities
Provide administrative support to the Practice Manager, Assistant Practice Manager, Senior Administrator and Business Support Administrator, assisting with tasks and projects as required to support the effective day-to-day operation of the practice.
Develop and maintain a high level of competency in the practice clinical system, including the ability to input, retrieve and analyse data accurately. Provide support with day-to-day IT and clinical system queries and troubleshooting in the absence of the Reception Supervisor, escalating issues where appropriate.
Qualify & Outcomes Framework (QOF)
Support the delivery of QOF requirements alongside the Business Support Administrator. Duties will include, but are not limited to, inviting patients for reviews on specific disease areas, such as Asthma/COPD. Responsibilities may change and develop in line with updates to QOF specifications and practice requirements.

Surgical Unit
Support the Business Support Administrator with the day-to-day operational requirements of the Surgical Unit, including inviting patients to planned surgical sessions, responding to patient enquiries, preparing theatre paperwork, and providing general administrative support to ensure sessions run efficiently.
Mandatory Training
Maintain oversight of mandatory training for all practice staff, ensuring training is completed within required timescales, with appropriate follow-up where necessary, supported by the Practice Manager and Assistant Practice Manager.

Person Specification
English Language
- Fluency in written / spoken English
Qualifications
- Good level or IT experience / Knowledge.
- GCSE (or equivalent) Mathematics and English Grade C or above
- Use of Excel and Word to an advanced level
Experience
- At least 2 years experience in an administrative role with particular focus on supporting the administrative oversight of service provision.
- Skills and Experience in data management specifically presenting/sharing information/data with the management team in an electronic format.
- Ability to work in a busy environment and prioritise work effectively. Ability to work to deadlines.
- Experience of working in Primary Care.
- Expert in using the SystmOne Patient Records System with the ability to run complex searches (training will be given where necessary).
