Digital Services Support Officer

Job summary

The Digital Services Support Officer provides comprehensive administrative and operational support to the Trust's Digital Services function, helping to ensure the efficient delivery of Digital IT services across the organisation. The role supports a wide range of activities including ServiceNow administration, IT hardware requests, procurement, asset management, digital training coordination, record management and general office administration. The post holder acts as a key point of contact for staff, responding to enquiries, maintaining accurate records and supporting Digital systems and processes in line with Trust policies. Working closely with colleagues across Digital, Procurement, Finance and other departments, they contribute to service improvements, support meetings and reporting, and help ensure the smooth day-to-day operation of Digital Services. The role requires excellent organisational, communication and customer service skills, together with a proactive approach to delivering high-quality administrative support within a busy NHS Digital environment.

This is a part time role, 18 hours a week Monday to Friday, ideally 3 full days but open to discuss flexible working days.

Main duties of the job

The Digital Services Support Officer provides administrative and operational support to the Trust's Digital Services function, ensuring the efficient delivery of day-to-day Digital IT services. The role supports ServiceNow administration, IT hardware requests, procurement, asset and inventory management, digital training coordination, reporting and record maintenance, while providing a high standard of customer service to Trust staff. Working closely with colleagues across Digital, Finance, Procurement and other departments, the post holder maintains accurate records, coordinates meetings and documentation, assists with Digital systems and processes, and contributes to the continuous improvement of administrative services. The role requires excellent organisational, communication and IT skills, together with a proactive, customer-focused approach to supporting the effective operation of the Trust's Digital Services team.

Working closely with colleagues across Digital, Finance, Procurement, Estates and external suppliers, the post holder will assist with purchasing, meeting coordination, documentation, stock management and the continuous improvement of administrative processes. The role requires excellent organisational, communication and customer service skills, together with strong attention to detail and the ability to manage multiple priorities while working within Trust policies and procedures to support the efficient operation of the Digital Services team.

Person Specification

Qualifications

Essential
  • GCSE-level English and Maths
  • Evidence of basic IT literacy.
Desirable
  • Business Administration qualification (e.g. NVQ Level 2 or Level 3, or equivalent).
  • Secretarial or Office Administration qualification

Experience

Essential
  • Previous experience in an administrative or clerical role.
  • Experience using Microsoft Office applications, including Word, Outlook and Excel.
  • Experience of maintaining accurate records, data or information systems.
  • Experience of dealing with enquiries from staff or customers, providing a professional and customer-focused service.
Desirable
  • Experience working within an NHS, healthcare, Digital or IT department.
  • Experience of order processing, including knowledge of Oracle and iProc.
  • Experience of using ServiceNow, ESR, or similar business and service management systems.
