Job summary
This is a 12-month fixed-term position. The Referral Management Centre Admin Lead is responsible for the day-to-day supervision and operational management of the Referral Management Centre, ensuring the efficient processing of patient referrals and delivery of high-quality administrative support. The role provides leadership and line management to the Referral Management Centre team, overseeing staffing, training, performance, and compliance with NHS policies, Patient Access standards, and the 18-week Referral to Treatment (RTT) pathway.
The post holder is responsible for managing referral pathways, clinic scheduling, clinic templates, waiting lists, and e-Referral (e-RS) processes, ensuring referrals are managed efficiently and clinic capacity is optimised. Working closely with clinical and administrative teams, the role supports service improvement, workforce planning, and the effective use of digital systems, including MAXIMS, EPR, Envoy, and the Cisco call centre system. The post holder also acts as deputy to the Outpatient Services Manager during periods of absence, supporting the delivery of safe, effective, and patient-centred outpatient services.
Main duties of the job
The successful candidate will supervise the day-to-day operations of the Referral Management Centre, providing leadership and support to the administrative team to ensure the efficient management of patient referrals and outpatient clinic bookings. They will oversee clinic scheduling, referral pathways, waiting lists, and e-Referral (e-RS) processes, ensuring compliance with NHS access standards, including the 18-week Referral to Treatment (RTT) pathway.
The role includes staff supervision, training, performance management, and supporting service improvement initiatives. The post holder will work closely with clinical and operational teams to maximise clinic capacity, maintain high standards of patient care, resolve operational issues, and support the Outpatients Deputy General Manager by deputising in their absence.

- In depth knowledge of outpatient administrative systems and workflows including Maxims (EPR) and e-RS
- Experience using Maxims (EPR) and e-RS systems

- Customer services / Business Administration qualification at Level 3 or equivalent experience
- Computing or IT (ECDL) or relevant experience

- Experience of using a range of IT programmes, including a good working knowledge of Microsoft Office especially Excel, Word and PowerPoint
- Team player with strong interpersonal skills
