Project Coordinator (Contract)

Location: Hybrid - primarily remote with 2 days per week on-site in Bristol

Contract Type: Initial 3-month contract, inside IR35, with the strong potential for rolling extensions up to 24 months

Day Rate: £350.00 per day (inside IR35)

Hours: Full-time equivalent, based on a standard working week

We are seeking an experienced Project Coordinator to join a small, dynamic PMO/Project Controls team within a leading Digital & IT function supporting major infrastructure programmes. This role provides critical administrative, coordination, and governance support to Programme Manager(s) and the Project Controls Manager, ensuring smooth delivery of programme activities in a fast-paced, high-stakes environment.

Key Responsibilities:

  • Provide high-quality administrative support to Programme Manager(s), including arranging and attending meetings, taking minutes, tracking actions, and communicating with owners to ensure timely completion.
  • Assist in administering the programme governance schedule and maintaining an overview of all actions related to key risks, issues, and dependencies.
  • Maintain and update the programme RAID log (Risks, Assumptions, Issues, Dependencies), chasing owners for timely and accurate updates, and reporting progress regularly to the Programme Manager.
  • Chair meetings to communicate PMO delivery progress to senior stakeholders.
  • Support the Change Control process across multiple programmes, including administrative tasks and coordination.
  • Assist with financial administration, such as re-charger processes, populating basis of estimate documents, and raising purchase orders in SAP.
  • Ensure programme deliverables and documentation are produced to the required standards and timelines (aligned with relevant governance definitions).
  • Configure and optimise software tools (eg, SharePoint, Azure DevOps (ADO), Power BI, Smartsheet) to enhance delivery efficiency and project outcomes.

Essential Skills and Experience:

  • Proven experience providing exceptional administrative and coordination support in a fast-paced environment; prior PMO experience is advantageous but not essential.
  • Proactive self-starter with strong organisational skills and the ability to manage multiple priorities independently.
  • Excellent interpersonal and communication skills (written and verbal), with the ability to build effective relationships and influence stakeholders at all levels.
  • Proficiency in Microsoft Word, Excel, and PowerPoint.
  • Adaptable and committed to continuous learning, willing to take on varied responsibilities.

Desirable Skills:

  • Familiarity with tools such as Azure DevOps (ADO), Power BI, SharePoint, Smartsheet, or SAP.
  • Experience working in project/programme environments, ideally with governance, risk/issue management, or change control processes.
  • Exposure to large-scale programmes or collaborative teams involving consultants/contractors.
