My client a top Global company are currently looking to recruit a Team Administrator to join their team on a contract basis. Please note if successful you will need to set up via an Umbrella Company/PAYE. The Team Assistant plays a critical role in enabling our clinets senior leaders to perform in their roles efficiently through providing effective, proactive and comprehensive administrative support.
The Team Assistant may support multiple senior leaders, generally within one business area and report into one of those senior leaders.
Key responsibilities
- Manage and prioritise diary, ensuring alignment to business priorities with minimal direction, ensuring key stakeholders are looped in and offering solutions where conflicts may arise.
- Plan and manage travel, including the preparation of agenda for trips.
- Organise all logistics for meetings (visitors, catering etc), conferences and events whilst adhering to the meetings policies, collaborating closely with internal/external parties.
- Liaise with external agencies and third parties, where required, on behalf of the senior leader.
- Manage expenses, handle invoices and raise purchase orders related to the senior leader & team in a timely manner.
- Support with agenda planning for regular meetings.
- Support with internal and external communication on behalf of the senior leader.
- Support the onboarding of new team members, assist new starters, handle movers and leavers, with input from HR.
- Act as a buddy to new starters in the team, guiding them through processes and systems.
- Take minutes during meetings if required.
- Liaise with HET EAs and other team assistants to ensure alignment on diaries & activities.
Qualifications and skills
- Proven track record in effective communication with senior stakeholders
- Able to work at pace, navigate complexity and solve problems.
- Able to build high quality, high impact relationships.
- Excellent communication skills, awareness of interdepartmental relationships and ways of working.
- Proactive, anticipating needs and requirements, with no prompting or guidance.
- Confidentiality, recognising the level of stakeholder interaction within the role
- Competent IT skills including advanced Microsoft Office application usage.
- Strong organisational and administration skills.
- Ability to prioritise workload, working with tight deadlines whilst maintaining an excellent eye for detail.
