About the role:
We’re hiring an apprentice to support our growing customer base and help them get the most from the Vicinity CRM and our suite of tools. You’ll become our elite internal CRM expert, the go-to person who knows the system inside out and supports customers with confidence, clarity, and care.
This is a varied and collaborative role that blends customer support, data management, onboarding, training, and content creation. You’ll work with a high degree of autonomy and plenty of opportunity to shape how customer success evolves at Vicinity.
Responsibilities:
- Customer support & training: Respond to customer questions through Intercom, providing clear, friendly, and solution-focused guidance. Run onboarding and training sessions for new users (via Zoom), helping them confidently adopt the CRM. Deliver occasional webinars and group training workshops. Write help articles, how-to guides, and short explainer videos to support customer self-service and train our AI.
- CRM expertise & data management: Become a power user of the Vicinity CRM - understanding its features, workflows, data structures, and best practices. Standardise datasets received from customers and prepare them for import. Add, update, and archive CRM users; track user numbers against contractual allowances. Work closely with the tech team and customer to get customer data into the system accurately and on time. Log bugs, requests, and data issues into GitHub clearly and consistently.
- Process & quality: Help shape and refine customer-facing processes, support documentation, and onboarding materials. Identify common customer challenges and work with the tech team to improve the experience. Bring positivity, enthusiasm, and a bit of sparkle to the CRM and the people who use it!
We’re looking for someone who is:
- Tech-confident & curious: Comfortable with software systems and excited to learn new tools quickly. A competent Excel user who enjoys working with data. Interested in AI and confident using AI-assisted tools - and open to showing customers how to benefit from them.
- A natural communicator: Excellent written and verbal communication skills. Clear, customer-friendly, patient, and empathetic. Able to turn technical information into something simple and human.
- Organised & quality-driven: Thorough, accurate, and dependable in managing data and customer workflows. Good at prioritising and juggling multiple tasks. Motivated to deliver great customer experiences every single time.

Additionally, the following experience would be beneficial:
- Intercom.
- Zoom training delivery.
- CRM systems.
- SaaS Customer Success experience.
- Video screencapture (Droplr).
Entry requirements:
- 3 GCSEs (or equivalent) at grades 4+ (A-C) in any subject
- GCSE Maths and English (or equivalents) at grades 3+ (D or above)
- Prospective apprentices must not hold an existing qualification at the same or higher level as this apprenticeship in a similar subject
You may also have a combination of qualifications and experience which demonstrate the minimum foundation needed for the programme. In this instance you could still be considered for the programme.
If you hold international equivalents of the above qualifications, at the time of your application you must be able to provide an official document that states how your international qualifications compare to the UK qualifications.

Working hours: 37.5 hours per week.
