Job summary
This role will be responsible for project managing and coordinating the project deliverables for the Artificial Intelligence and Automation Programme, which sit under the Digital directorate.

Main duties of the job
The role is essential to ensure that:
- Project deliverables are effectively coordinated, tracked, and delivered on time.
- Communications deliverables are planned, executed, and aligned with the Artificial Intelligence Strategy, overarching programme goals and workstream action plans.
- Strong relationships with digital, clinical, procurement colleagues and the Trust's communications team are maintained and facilitated.
- Stakeholder engagement activities, including collaboration with service users and carers, are supported under the guidance of the line manager.

- Has proven experience in project management, including the ability to balance strategic oversight with hands-on execution. Experience doing this with the implementation of a new digital tool would be advantageous.

As this role is situated within a programme environment, the specific subject matter and scope of responsibilities may evolve as programme needs change. However, the core project management skillset will remain critical.
The postholder will:- Lead and coordinate project deliverables, ensuring they are aligned with programme timelines and objectives.
- Plan, deliver, and evaluate communications activities to support programme engagement and stakeholder awareness.
- Facilitate effective relationship management with procurement teams, the Trusts communications team, and other key stakeholders.
- Support stakeholder engagement initiatives, including direct involvement with service users and carers.
- Maintain project documentation, risk logs, and progress reports to ensure transparency and accountability.
- Adapt and respond to programme changes, reprioritising deliverables as needed.

Organisational Context and Reporting LinesThis role sits under the Digital Services Directorate. The Directorate utilises technology and digital solutions to empower our staff to work effectively and to improve the care our service users receive. The postholder will report to the AI and Automation Programme Manager (Programme Manager) and work closely with multidisciplinary project workstreams, Digital and external departments / teams across the Trust as directed by the Programme Manager.
Responsibilities- Planning and Coordination: Develop and maintain project plans for communication and stakeholder engagement activities, ensuring alignment with the overall programme timeline and overarching strategies.
- Documentation: Create and maintain project documentation, including timelines, resource plans, and meeting minutes. Prepare and present findings to internal and external stakeholders while showcasing the use of AI in the work where reasonable.
- Stakeholder Engagement: Collaborate with internal and external stakeholders to gather requirements, provide updates, and address concerns effectively.
- Risk Management: Identify, document, and mitigate risks, ensuring programme continuity and success.
- Monitoring and Reporting: Track progress and prepare regular performance reports, escalating issues as necessary.
- Workstream Management: Provide operational support to workstreams, ensuring progress and maintaining schedules.
- Content Creation: Develop clear and concise communication materials, such as email updates, intranet posts, FAQs, and presentations.
- Feedback Mechanisms: Maintain and respond to stakeholder feedback via established channels.
- Stakeholder Engagement: Organise appropriate activities, such as workshops or meetings, to ensure feedback and stakeholder buy-in.
- Communications Plan Development: Support the development and execution of a comprehensive communication and engagement plan to inform and engage stakeholders.
- Change Management Support: Collaborate with the Change Management Leads to deliver communications that drive adoption and minimise resistance.
- Data Analysis: Collect and analyse clinical and operational data to generate actionable insights, including assessing the effectiveness of communication activities.
- Training and Resource Coordination: Collaborate with Digital Services managers to ensure sufficient resources and highlight training needs.
- Performance Monitoring: Evaluate and track project progress, providing recommendations for improvement.

Qualifications
- Relevant degree or diploma level qualification or equivalent management/senior administration experience.
- Evidence of continuous personal and professional development.
- Project management qualification or equivalent experience
Knowledge and Skills
- Can demonstrate strong project management experience, including process redesign and business change management.
- Can demonstrate an ability to use project management tools such as Microsoft Project, Cora, and Visio.
- Can demonstrate expertise in communications and stakeholder engagement across service user (patient), clinical, technical, and operational groups.
- Can demonstrate proficiency in data analysis, reporting, and documentation.
- Can demonstrate adaptability in managing dynamic programme needs and priorities.
- Can demonstrate strong organisation skills and provide examples of managing numerous priorities and their time effectively.
