Royal Collection Trust (RCT) is in the process of replacing their existing Collections Management System, offering an exciting opportunity to be part of this project in an extraordinary workplace. With around 1 million object records and 360,000 index terms, the records cover the full range of material that forms the Royal Collection.

As a Collections Database Assistant, you’ll play a key role in editing, refining and improving data standards, ensuring the system is ready to support colleagues and share the Royal Collection with audiences worldwide.

Key Responsibilities:

  • You’ll develop expertise in the collections management system and Digital Asset Management Systems (DAMS), ensuring object records and images are accurate, consistent and well presented.
  • Working through key data fields, you’ll resolve issues, edit records and reconcile data from external sources to improve the overall quality of migrated records.
  • Working on index terms, you’ll review, edit and merge index terms, inserting them into hierarchies with a focus on people and organisations to enhance discoverability.
  • You’ll standardise formatting in rich text fields so information displays consistently for internal users and across RCT’s Collection Online.
  • Collaborating with colleagues, you’ll convert saved searches into permanent groupings and refine how images are displayed in the system.
  • Making use of system functionality, you’ll drive improvements in data standards and processes, supporting ongoing data governance and catalogue quality.

Essential Criteria:

  • You’ll be confident and committed to quality, accuracy and attention to detail whilst working with large sets of data.
  • As an effective communicator, you will be able to build positive relationships with colleagues across the organisation and deliver to users of the collections management system.
  • You’ll bring amazing organisational and problem-solving skills which will allow you to keep calm during periods of high workload.
  • You’ll possess excellent IT skills, specifically with Microsoft Excel.
  • Finally, you’ll enjoy learning from and working as part of a team to deliver exceptional results.
  • Whilst experience working with Collection Management Systems or an interest in the heritage sector would be advantageous, it’s your ability to decipher and maintain accurate data, and your capability that we’re looking for.
