Job Overview
We are seeking a proactive and highly organised Space Booking Manager to oversee the day‑to‑day operation of our Eptura Engage Space Booking System. In this role, you will ensure the platform functions smoothly, maintain accurate workspace data, and provide exceptional support to colleagues across the business—especially our VIP PA community.
You will act as the primary liaison with Eptura, manage system configuration, troubleshoot issues, and support wider workplace operations through reporting and insights.
Key Responsibilities
- System Ownership & Administration
- Fully manage daily maintenance and upkeep of the Engage system.
- Configure system settings, including floorplans, space data, assets, booking rules, and user permissions.
- Ensure digital workspace data reflects physical changes within the office.
- Act as the main point of contact with Eptura, staying informed about updates, enhancements, or system issues.
- Provide user insights and feedback to Eptura to support ongoing improvements.
User & Stakeholder Support
- Provide first‑line support for all Engage‑related queries such as access issues, booking conflicts, and system troubleshooting.
- Build strong, supportive working relationships with VIP PAs and senior stakeholders.
- Collaborate effectively with catering, reception, AV, and Workplace Concierge teams.
- Maintain high levels of professionalism and responsiveness at all times.
Issue Resolution & Continuous Improvement
- Log bugs and technical issues with Eptura Support and follow them through to resolution.
- Identify trends in recurring issues and escalate them appropriately.
- Suggest improvements to processes or configurations to enhance user experience and system performance.
Reporting & Data Management
- Support the Workplace Concierge and relevant stakeholders with reporting, data extraction, and insights from Engage.
- Ensure accuracy, consistency, and timely delivery of all reports.
Training & Communication
- Deliver engaging training and system guidance to stakeholders, with a focus on PA and EA teams.
- Communicate system changes, updates, and known issues clearly and effectively.
What We're Looking For
- Minimum 12 months' experience working with Engage or a similar booking/workplace management platform.
- Strong communication and interpersonal skills, confident working with senior users.
- Patient, empathetic approach to user support and problem‑
- Analytical mindset with the ability to recognise patterns and recurring issues.
- Experience extracting data and generating reports from booking systems.
- Ability to work independently, prioritising tasks effectively.
- Understanding of broader workplace and office service operations.
